2. Youth Rugby – Proposal to initiate a CYA program, Eric Pittelkau
· Summer “Touch” program (end of May to end of August)
· Lat year saw 65 SYA participants and 160 SYC participants, part of Potomac Rugby Union Youth League (about 800 kids ages 6 – 16 in 20 organizations in Maryland, DC, VA) – some are exploring “Tackle” programs for above U-11
· Approximately $90 registration fee
· Two 1.5 hour practices per week, games begin end of June, 6 or 7 weekend games + weeknight games, tournament in mid-August, end of season “Cup”
· Rugby is a “club” sport in high school
· Playing age is date on 6/30
· Teams consist of about 15 players (vacations, etc.), 7 per side in games, 4 10-minute quarters
· No extraordinary equipment necessary (cleats, mouthpiece)
· Eric to provide a descriptive write-up so that the Board can vote on whether or not to go forward
3. Budget presentations:
· Tennis (Budget approval moved, seconded, and unanimously passed)
o Summer and new Fall session (two 5-week sessions in summer and one 5-week session in Fall)
o Participation up, about 93 in 2004
o Fee increasing $5 from last year to account for $5.50 county fee
o Travel fee increased $15 - $5.50 county fee and $10 t-shirt costs
· Cheerleading (Budget approval moved, seconded, and unanimously passed)
o Fee increasing $5 from last year
o Planning for 20 squads (20 coaches), up from 13 last year
o Incentives for coaching and recruiting coaches
· Football (Budget approval moved, seconded, and unanimously passed, editing for $5K increase in fundraising income to support $41,500 WOGCAF budget)
o 550 total registrants, 33 teams expected
o $135 registration fee (up $5 from 2004)
o Ralph noted that Gaming Commission was pressing CYA for information regarding raffles, raffles may be in jeopardy if we don’t correctly respond
4. Treasurer’s Report – Rob Strittmatter
· 2004 Audit Report just received (needs to be reviewed)
· Sales Tax exemption is close to being done but awaiting final confirmation from the state
· Sports programs – turn in cash and checks in a timely fashion!
· Two sports recently turned in cash/checks from last Fall!!!
· CYA to provide each Sport Coordinator with pre-addressed, stamped envelopes to help with timely submissions
5. Al Monica - Sports Action Photography
· Live action, not competing with “team” photos
· Not “exclusive”
· Service available to CYA sports groups
· Board determined “agreement” can be signed by coordinators
6. Fields - Ralph / Hal Strickland
· Colin Powell – lights approved
· Chairman Connolly (Fairfax Board of Supervisors) stated at a public event that he would support a motion to have the $5.50 county fee be used in support of turf fields
· According to the county approximately $1.2 million was collected in $5.50 fees from September through December
· Ralph (Athletic Council) to follow-up by proposing a resolution to the BOS to use the $5.50 to upgrade facilities (fields and gyms)
· WoG – Field Building has been enclosed, new siding, etc. Concession stand improvements and will begin operation in April
· Washington Post – probably unable to use past November (like EDS and Barnsfield
· Judy Gollaway noted that travel teams such as Vienna Softball are using CYA fields
7. Registration, Sports Reporting, and Facility Allocations – Karen Shores
· Fees ($5.50 per registrant) are due to the county April 15th, CYA rosters are due to Karen by March 31st (Karen is out 3/18 – 3/26)
8. Training – Rich Gleason
· Need web visibility (Ed to provide links / pages when Rich provides content)
· Judy commented positively about the recent coaching clinic held at CHS (“it was great”)

11. Discussion for the good of CYA
· Rick Shryock announced the overwhelming response in support of the West Fairfax Basketball Club, a newly formed AAU Basketball club with representation from Chantilly and Westfield high schools and CYA/SYA/Herndon youth organizations – 17 teams have been formed when only 4 were expected!
