Meeting Minutes from 1/17/06

Meeting called to order by Ralph Wills at 7:55 p.m.

Board Members Present:  Ralph Wills, Jack Smit, Ed Miller, Hal Strickland, Rich Gleason, Judy Galloway, Bill Minto, Rob Strittmatter,

Board Members Not Present:  Art Simcox, Mike Dingman, Rick Shryock

Sports Programs Represented:  Cheerleading (Toni Lightfoot, Softball (Judy Galloway), Lacrosse (Garth Jansen), Little League Baseball (Howard Bernstein), Didier Perdu (Rugby), WOGCAF (Hal Strickland),

Others:  Karen Shores (Registration, Sports Reporting, and Facility Allocations), Steve Jones (Potomac Inline Hockey), Mike D. (Potomac Inline Hockey)

1.      Opening Remarks – Ralph Wills

·        Request for field allocations are supposed to come into CYA by February 1st

·        Long & Foster have stated that they expect to begin construction on their headquarters building (old Washington Post site) in summer ’06, Ralph is trying to get use of fields extended through June 18, 2006 at least

·        Working with Supervisor Frey’s office to get an additional $600,000 from Fairfax county/VDOT funds to help develop additional fields at Quinn Farm property

·        EDS – still working with Supervisor Frey, EDS, and developer to obtain as much field use (through proffers) after development is complete

·        Eagle Chase (Walney Road) – HOA has authorized CYA to use the baseball field there, Ralph to provide contract template to Howard Bernstein, Howard to work with the HOA on details

2.      Vice President’s Remarks – Jack Smit

·        Web site administrator access needs coordination, change control process, perhaps reduce the number of people that have admin. access

·        Each sports program is expected to maintain their web sites and keep the information current

3.      Potomac Inline Hockey presentation – Steve Jones

·        Began in 2002, 501(c)3 organization

·        Approximately 600 families participate (15 youth teams, 9 high school age teams, 5 adult teams, and 7 travel teams)

·        Limited number of hours at Planet Splash and Play facility

·        March ’06, opening 30,000 sq. ft facility in Avion business complex in Chantilly, near the Dulles automobile park, with 1 full size rink and 1 “half-size” rink

·        Three seasons – spring, fall, and winter – winter is the busiest, summer camps and two “mini-seasons”

·        USA Hockey certified

·        Interested in setting up concessions to help pay expenses

A motion was made, seconded, and passed unanimously to entertain bringing Potomac Inline Hockey (the youth portion) into CYA.

4.      Budget presentation – Cheerleading (Toni Lightfoot)

·        Goal is 175 participants, fee increasing to $150

·        Susan Gibbs is wonderful! – she provides great support

A motion was made, seconded, and passed unanimously to approve the Cheerleading budget.

5.      Registration, Sports Reporting, and Facility Allocations – Karen Shores

·        Walk-in registration scheduled for Saturday January 21

6.      Treasurer’s Report – Rob Strittmatter

·        No report

7.      Indoor Facilities – Ralph

·        No report

8.      Outdoor Facilities – Hal

·        Nothing to add to Ralph’s comments

9.      Word of Grace – Hal

·        Things are going well

10. Shed – Hal

·        It was recommended by a board member to look into surge protection for the alarm system

11. Insurance – Ed

·        No report

12.  KidSafe – Jack Smit

·        Approximately 120 volunteer’s background checks are in the queue

13.  Legal – Mike Dingman

·        No report

14. Training – Rich Gleason

·        Going to get Positive Coaching Alliance representative to attend next board meeting and present

·        Printed 1000 flyers to be passed out for registration notification

15. Old Business

·        None

16.  New Business

·        A motion was made, seconded, and passed 5-0 with one abstention to charge a $10 fee to each registrant for rectangular field sports (Football, Soccer, Lacrosse, and Rugby) beginning with the Fall 2006 season.  The purpose is to establish a separate fund to support installing an artificial turf surface on Karl Davey Field at Greenbriar.
