Meeting Minutes from 4/19/05 Meeting

Meeting called to order by Ed Miller at 8:08 p.m.

Board Members Present:  Ed Miller, Mike Dingman, Rob Strittmatter, Hal Strickland, Bill Minto, Rick Shryock, Ralph Wills, Rich Gleason

Board Members Not Present:  Blair Meason, Art Simcox, Jack Smit

Sports Programs Represented:  Karen Shores (Registration, Sports Reporting, and Facility Allocations), Basketball (Rick Shryock), WOGCAF (Hal Strickland), Softball (Judy Gollaway)

1.      Opening Remarks –

·        None

2.      Treasurer’s Report – Rob Strittmatter

·        CYA received confirmation of Sales Tax exemption – retroactive to July 1, 2004

·        For tax exemption to be in effect, CYA must be invoiced and the invoice must be paid with a CYA check (individuals can’t claim the tax exemption on CYA’s behalf)

·        Pre-addressed envelopes for payment submission (to make it easier to send in checks) were distributed, more are available – contact Susan Gibbs

3.      President’s Remarks – Ralph Wills

·        The issue of the President of CYA not being able to coach or manage has been raised, Ralph wasn’t aware that this restriction was in the By-laws

·        Ralph believes strongly that everyone involved in CYA should be allowed to coach

A motion was made and seconded to interpret the By-Law restriction as being the Head Coach or Manager – this motion did not carry


 

4.      Outdoor Facilities - Hal Strickland

·        The county budget for 2006 continues to include the $5.50 “User Application Fee”, however, the county has agreed to put approximately $980,000 to support the development of turf fields and indoor facilities

·        Judy asked for the status of her request for a portable toilet to be installed at Rachel Carson – School has agreed, now a secure location with drive up access just needs to be identified before installation (along the right field fence)

·        Karen Shores confirmed that CYA paid approximately $32,000 to the county in spring sport application fees

·        Karen needs estimated participants for fall allocations (an email from Karen will follow)

·        Hal said that, all told, with the loss of the fields at the Washington Post, EDS, and Barnsfield sites, CYA will be down about 8 to 10 fields over the next 5 years

·        Apparently Barnsfield had a diamond cut into the front rectangular field between April 14th and April 19th

·        Rich Gleason has a contact at St. Veronica’s – will try to connect Ralph with the church to discuss field plans

5.      Old Business

·        CYA Rugby proposal – Not considered due to lack of quorum (quorum was present at the beginning of the meeting but not when this matter came up) – tabled until next meeting

6.      New Business

·        A motion was made and seconded to propose an amendment to the By-Laws, striking the restriction against the CYA President coaching or managing a team – motion tabled until the next meeting

7.      Discussion for the good of CYA

·        Rich Gleason mentioned that ALL CYA members should check with their employer to find out if the employer has a program to make charitable contributions to organizations on behalf of employees that volunteer their time for the charity

·        Ed noted that CYA’s (501(c)(3) letter is posted on the web site

The next CYA Board Meeting is scheduled for Tuesday May 17th at 8:00 pm at the shed.
